Mailbox Terms of Service

Please read these Terms of Service carefully before using the Virtual Mailbox services provided by Annex Business Center (“we,” “us,” or “our”). By signing up for or using our Virtual Mailbox services, you agree to comply with and be bound by the following terms and conditions.
Service Overview
Annex Business Center provides Virtual Mailbox services, allowing customers to receive and manage mail electronically. Upon receipt of your mail, we will scan the exterior of the envelope or package and provide you with options to have it forwarded, opened scanned, shredded, or picked up in person.
Account Setup & Requirements

Identification: To comply with USPS regulations, all customers must complete and submit USPS Form 1583 along with two forms of identification. Notarization may be required unless the form is signed in person at our office.

Service Plans: Customers must select a service plan that best meets their needs. Available service plans and associated fees are detailed on our website or can be provided upon request at our office.

Mailing Address: At our center, you will be provided with a unique mailing address, which you may use as your legal mailing address for the receipt of mail and packages.
Mail Handling & Storage

Mail Processing: We will notify you when new mail arrives. You will have the option to request actions such as forwarding, scanning, or shredding.

Mail Forwarding: You may request that your mail or packages be forwarded to another address. Additional postage fees will apply based on the size and weight of the forwarded items.

Storage: Mail and packages will be stored free of charge for up to 30 days. After that, storage fees may apply unless alternative arrangements are made. Uncollected mail or packages may be returned to the sender or disposed of after 90 days.

Prohibited Items: We do not accept certain items, including but not limited to hazardous materials, weapons, or any illegal substances. Mail containing such items will be refused or reported to the appropriate authorities.
Mail Disclaimer Statement

Please be advised that Annex Business Center is not responsible for any mail once it has been handed over to the United States Postal Service (USPS) or other carriers for delivery. Upon handing over your mail, all liability and responsibility are transferred to the USPS or the respective carrier.

If your mail piece is of importance, we strongly recommend adding tracking or opting for a service that includes tracking, to ensure you can monitor its delivery status.
User Responsibilities

Accurate Information: You agree to provide accurate and current information during the registration process and promptly update any changes to your personal or business details.

Mail Ownership: You affirm that all mail and packages sent to your Virtual Mailbox are addressed to you or a legitimate recipient authorized by you.

Compliance with Laws: You agree to comply with all applicable local, state, and federal laws related to the use of our services. Any illegal use of the Virtual Mailbox will result in immediate termination of your account.
Fees & Payment

Service Fees: The Virtual Mailbox service is provided on a subscription basis. Fees are charged according to the selected service plan and any additional services requested (e.g., mail forwarding, scanning).

Payment Terms: Payment is due at the start of each billing cycle. Late payments may result in the suspension or termination of your account. We reserve the right to change fees at any time with prior notice.

Refund Policy: Fees for Virtual Mailbox services are non-refundable, except in cases where the service was not provided due to an error on our part.
Account Termination

Customer-Initiated Termination: You may terminate your Virtual Mailbox account at any time by providing written notice to Annex Business Center. Any outstanding fees must be paid before termination.

Service Provider-Initiated Termination: We reserve the right to suspend or terminate your account for non-compliance with these terms, failure to pay fees, or engagement in any unlawful activities.
Limitation of Liability

Mail Loss or Damage: Annex Business Center is not liable for any loss, damage, or delay of mail or packages while in transit or after they have been forwarded. Our liability is limited to cases of gross negligence or intentional misconduct.

Third-Party Services: We may use third-party carriers or service providers for forwarding or other mail-handling services. We are not responsible for any actions or omissions by these third parties.
Privacy & Confidentiality

Mail Privacy: We take reasonable precautions to maintain the confidentiality of your mail. However, by requesting mail scanning or forwarding, you acknowledge that Annex Business Center employees may handle your mail for processing purposes.

Data Security: Your personal information is stored securely and used only to provide Virtual Mailbox services. We do not share your information with third parties except as required by law.
Dispute Resolution
In the event of any dispute arising from the use of our Virtual Mailbox services, both parties agree to attempt to resolve the matter through informal negotiations. If unresolved, the dispute will be submitted to binding arbitration under the laws of the State of [Insert State], and each party will bear its legal costs.
Modifications to Terms of Service
Annex Business Center reserves the right to update or modify these Terms of Service at any time. Any changes will be effective upon posting to our website or providing direct notice to you. Your continued use of the Virtual Mailbox service constitutes acceptance of the modified terms.
