Physical Workspace Terms of Use

Effective Date: January 1, 2026

Please read these Physical Workspace Terms of Use (“Terms”) carefully before reserving or using any workspace, office, desk, or conference room provided by Annex Business Center (“we,” “us,” or “our”). By booking or using our workspace services, you agree to comply with and be bound by these Terms.

Service Overview

Annex Business Center provides professional workspace solutions, including private offices, private desks, hot desks, and conference room rentals. All spaces are offered on a flexible basis and may be reserved by the hour, day, week, or month.

Annex operates as a structured workspace environment and does not provide coworking access, shared common areas, or 24/7 availability.

Reservations & Access

All workspace usage must be scheduled in advance and is limited to the time reserved.

  • Access is granted only during your confirmed reservation time.

  • Early entry or extended use without approval may result in additional charges.

  • Access outside of business hours is not permitted unless explicitly authorized.

 

Hours of Operation

Workspace access is limited to posted business hours or scheduled appointments.

  • Houston: Monday–Friday, 9:00 AM–5:00 PM (plus limited Saturday availability)

  • New Orleans: Monday–Friday, by appointment only

Access outside of these hours is not guaranteed and must be pre-approved.

Use of Workspace

All workspace must be used for lawful business purposes only.

Users agree to:

  • Maintain a professional and respectful environment.

  • Use the space only for its intended purpose.

  • Follow all posted rules and staff instructions.

Annex reserves the right to deny or terminate use of space for any activity deemed inappropriate, disruptive, or in violation of these Terms.

No Common Area Use

Annex Business Center is not a co-working facility.

  • Access is limited strictly to your reserved office, desk, or conference room.

  • Use of non-designated areas is not permitted.

  • Loitering or unauthorized use of space outside your reservation is prohibited.

Guests & Visitors

Clients may invite guests for business-related purposes only.

  • Clients are responsible for the conduct of their guests.

  • Guests must comply with all Terms of Use.

  • Annex reserves the right to limit or deny guest access at any time.

 

Amenities & Services

Workspace rentals may include access to:

  • High-speed Wi-Fi

  • Professional office furnishings

  • Complimentary refreshments

Amenities are provided as a courtesy and may be modified or discontinued at any time without notice.

 

Conduct Policy

To maintain a professional, family-oriented environment, the following are strictly prohibited:

  • Disruptive or unprofessional behavior

  • Harassment, intimidation, or threatening conduct

  • Excessive noise or disturbances

  • Illegal activities

  • Smoking or vaping inside the premises

  • Use of space for residential or non-business purposes

Violations may result in immediate removal without refund.

 

Payments & Fees

  • All reservations must be paid in full before use, unless otherwise agreed.

  • Discounted rates may apply for reservations of three (3) hours or more, or through membership plans.

  • Additional fees may apply for overtime use, damages, or violations of these Terms.

Failure to pay may result in suspension or termination of access.

 

Cancellations & Refunds

  • Cancellation policies may vary depending on the service booked.

  • Late cancellations or no-shows may be non-refundable

  • Annex reserves the right to issue credits instead of refunds where applicable.

 

Damages & Responsibility

Clients are responsible for any damage caused to:

  • Workspace areas

  • Furniture

  • Equipment

Repair or replacement costs will be charged accordingly.

 

Liability Disclaimer

Annex Business Center is not responsible for:

  • Lost, stolen, or damaged personal belongings

  • Injuries occurring on the premises, except where required by law

Use of the workspace is at your own risk.

 

Security & Access Control

  • Access credentials must not be shared.

  • Unauthorized entry is strictly prohibited.

  • Annex may monitor premises for safety and security purposes.

 

Mail & Business Address Use

Use of the Annex Business Center’s address is restricted to clients with an active virtual address or approved service.

  • Unauthorized use of the business address is prohibited.

  • Mail services are governed by separate terms.

 

Notary Services

Notary services are available by appointment.
Notary services are provided free of charge for USPS Form 1583.

 

Termination of Services

Annex Business Center reserves the right to suspend or terminate access to the workspace if:

  • These Terms are violated.

  • Payments are not made.

  • Behavior disrupts business operations.

  • Illegal or prohibited activities occur.

Termination may occur without notice and without refund.

 

Modifications to Terms

Annex Business Center reserves the right to update or modify these Terms at any time. Updates will be effective upon posting to our website.

Continued use of services constitutes acceptance of any revised Terms.
